Cancellation & Rescheduling Policy

We understand that plans can change. Below is our cancellation and rescheduling policy for Durn Coffee catering services.

Cancellations

A 50% non-refundable deposit is required to officially secure your event date. Your event date is not reserved until the deposit is received.

If an event is canceled, any additional payments made beyond the deposit may be refunded at Durn Coffee’s discretion depending on timing, preparation costs, and custom items already purchased.

Rescheduling

Events may be rescheduled without additional charge if requested at least 72 hours before the scheduled event date.

Rescheduled events are subject to availability, and the original deposit will be applied to the new event date.

Terms & Conditions

These Terms & Conditions (“Agreement”) are entered into by and between Durn Coffee (“Company” or “Caterer”) and the client booking catering services (“Client”).

By submitting payment or paying the required deposit, the Client agrees to the terms and policies outlined below.

1. Event Details

Clients must provide accurate event information including location, guest count, service time, and setup conditions. Any major changes must be submitted in writing and may result in additional fees.

2. Service & Menu

Durn Coffee provides handcrafted espresso beverages and menu items discussed prior to the event. Menu offerings may include espresso drinks, specialty lattes, chai, hot chocolate, and customizable flavor options. Availability may vary depending on ingredient supply and seasonal availability.

Additional add-ons, such as matcha service and specialty flavors including ube and pandan, may be available for an additional fee.

3. Setup Requirements

Clients must provide:

  • A safe and accessible setup area

  • At least an 8’ x 8’ space

  • At least one dedicated 15-amp power outlet within 25 feet of setup

If power is unavailable for outdoor events, Durn Coffee can provide a generator for an additional fee.

Clients must provide access to the venue at least 1.5 hours prior to the scheduled event time for setup and 1 hour after service for breakdown and cleanup. Setup and breakdown time are not included in the scheduled service time.

4. Outdoor Events

Outdoor events are weather dependent. In cases of unsafe weather conditions, Durn Coffee reserves the right to modify, pause, or cancel service for safety reasons.

5. Deposit & Date Reservation

The Client agrees to pay a non-refundable deposit of fifty percent (50%) of the total cost of the catering services to secure the event date.

  • A date is not reserved until the deposit is received in full. Even if Durn Coffee verbally or digitally confirms availability, the date is not secured until the deposit has been paid.

  • Bookings are accepted strictly on a first-come, first-served basis.

  • The deposit serves as a date reservation and helps cover operational, preparation, and logistical expenses. Therefore, all deposits are non-refundable.

6. Payment

  • The remaining balance is due no later than seven (7) days prior to the event date, unless otherwise agreed in writing.

  • For bookings made within seven (7) days of the event, full payment may be required at the time of booking.

  • Payment may be made via credit card, ACH transfer, PayPal, or business check.

7. Travel Fees

Travel fees may apply for locations outside Bakersfield or surrounding service areas.

8. Liability

Durn Coffee is not responsible for delays or inability to perform services caused by circumstances beyond our control including weather, power outages, venue restrictions, traffic, or emergencies.

9. Damage

Clients may be responsible for damages caused to Durn Coffee equipment by guests, venue staff, or attendees during the event.

10. Acceptance

The Client agrees to be bound by these Terms & Conditions upon payment of the deposit.

Privacy Policy

At Durn Coffee, we value your privacy and are committed to protecting your personal information.

Information We Collect

We may collect:

  • Name

  • Email address

  • Phone number

  • Event details

  • Payment information through third-party payment processors

How We Use Your Information

Your information may be used to:

  • Respond to inquiries

  • Manage bookings and events

  • Process payments

  • Improve our services

  • Send occasional updates or promotions

Information Sharing

We do not sell or rent your personal information. Information may only be shared with trusted third-party services necessary to operate our business.

Data Security

We take reasonable steps to protect your information, but no online system can guarantee complete security.

You may request to access, update, or delete your information by contacting us through our website or business email.

Policy Updates

This Privacy Policy may be updated periodically. Changes will be posted on this page.

Right to Refuse Service

Durn Coffee reserves the right to refuse or discontinue service if unsafe, threatening, or inappropriate conditions arise during the event.
